Energy Assistant Associate

Required Experience:
- Minimum 1 year in an administrative position or currently enrolled in Post-Secondary program related to business or environmental administration
- Knowledge of First Nations history, cultures, traditions and legally-recognized rights and interests
- High school diploma or equivalent
Recommended Experience:
- 2 years of experience in a related position
- Working knowledge of Google workspace
- Administrative Assistant Diploma

Job Description:
- Provide administrative support to the SON Environment Office Energy Manager and Coordinators. Provide clerical support to Energy members as requested
- Maintain work schedules & event calendars for the Energy Manager and Coordinators. Coordinate activities & logistics for meetings, seminars, workshops,
special projects & events • Complete expense reports, pay invoices and other related financial reports - Reserve meeting spaces & arrange catering
- Take meeting minutes & transcribe other documents as needed
- Reception duties
- Reconcile travel expenses against established budgets
- Run Timetrax, collect and deliver timesheets, contracts and banking information to payroll. Fax, scan & copy documents
- Maintain office filling & storage systems
- Receive, screen and forward incoming mail & e-mails as directed
- Prepare outgoing mail & arrange for courier services
- Monitor & order office supplies
- Ensure office equipment is maintained and/or repaired
- Ensure the office area is clean and tidy
- Occasional office errands not requiring heavy lifting
- Provide direction to casual staff & janitor
- Liaise with contractors as needed
- Adhere to all SON policies & procedures, including Health & Safety guidelines
- Respect the confidentiality of SON, the community and employee information
- Deal professionally & courteously with all internal & external contacts
- Seek guidance / direction as necessary in the performance of duties
- Act as an ambassador for SON at all times
- Other duties as assigned
