Joint Council Executive Assistant

**Priority given to Saugeen Ojibway Nation Members

The Joint Council Executive Assistant is responsible for supporting the administrative operations for the Joint Council of
the Saugeen Ojibway Nation (SON).

Supervisor: Executive Administrative Officer

Accountable to: Executive Administrative Officer / Joint Chiefs and Councils of the Saugeen Ojibway Nation

Term of Employment: Full-time Permanent

Hours of Work: 37.5 hours per week (Monday-Friday | Some weekends and evenings may be required).

Responsibilities:

  • Manage the Joint Council calendar and scheduling of meetings
  • Prepare agendas, attend meetings, record minutes and follow-up on action items
  • Manage and maintain records, documents and correspondence related to the Chief and Council's work,
    ensuring their confidentiality and security
  • Draft and review correspondence, reports and other documents on behalf of the Chiefs and Councils
  • Coordinate and manage travel and logistics for the Joint Council
  • Collaborate and coordinate with the Executive Assistants at both Saugeen and Neyaashiinigmiing
  • Assist with the management of budgets, expenses and financial records related to the Joint Council activities
  • Manage the distribution and dissemination of information and materials to Joint Council
  • Respond to inquiries and requests from stakeholders and members of the public
  • Other duties as assigned by the Joint Council.

Minimum Qualifications:

  • High school diploma or equivalent
  • Post-secondary education in a related field is an asset
  • Minimum of 2 years of experience in a similar role, preferably in a non-profit or government organization
  • Excellent communication skills, both oral and written
  • Strong organizational skills, with the ability to manage multiple tasks and priorities
  • Ability to work independently and collaboratively in a team environment
  • Demonstrated ability to maintain confidentiality and handle sensitive information with discretion
  • Proficient in Google Suite, Microsoft Office Suite and other computer applications
  • Understanding and appreciation of Anishinaabe culture and values
  • Ability to communicate in Anishinaabemowin is not required, but highly preferred.
  • Drivers license and access to a reliable vehicle is required
  • Regular local travel will be required between Saugeen and Neyaashiinigmiing
  • Ability to lift and carry a maximum of 40lbs 
  • Advanced knowledge of MS Office and Excel
